Purpose: 
The HR Department is undergoing an efficiency project by transitioning all hardcopy employee files to electronic files on our shared drive.  This project will allow the department to better manage employee information by housing it in one location for easy access and reduces the need to check several places when locating employee related documents.  We are looking for a volunteer to help us review/vet and reorganize existing files as we transition from hardcopy files to electronic files.  The HR Department will also be looking for help with data entry into our HR system for each payroll cycle.  
 
Impact: 

By assisting with the transition to an electronic data housing system, the volunteer will help:

  • Increase efficiency in the Human Resources team’s day to day tasks
  • Completing a project which will allow for a drastic reduction in the paper used within the department and reducing the data storage space required by the whole organization 
 

By assisting with data entry into our HR system, the volunteer will help:

  • Ensure accuracy of the data housed in our HRIS
  • Ensure that all changes affecting pay are made in a timely manner
 
Responsibilities: 
  • Meet with the HR Advisor to learn about the new filing structure and review what files are stored where in the current file structure.
  • Scan all hardcopy files into the system; split and merge files (word, pdf, etc.)
  • Go through all the files and review for duplication
  • File documents within the appropriate subfolders and ensure that the standard naming convention is followed
  • Identify and move files/folders that can be put into an archive folder
  • Data entry into HRIS for payroll purposes
  • Apply standardized file naming convention

  • Demonstrated computer proficiency
  • Ability to maintain confidentiality
  • Strong organizational ability
  • Ability to use personal judgement to make informed decisions
