Position Description
We are currently seeking a volunteer to assist our Human Resources (HR) Department as well as our Volunteer Department. While the workload will be divided between these two departments, the priority will be the support of the HR department.
HR Departmental Support (Priority 1)
The HR Department is receiving a high volume of recruitments and needs support in screening applicants, conducting phone screens, scheduling, and reference checks. During times where recruitment is slow, we will be looking to the volunteer to provide us with support on a project we are undertaking to become a paperless department by transitioning all hardcopy employee files to electronic files on our shared drive. This project will allow the department to better manage employee information by housing it in one location for easy access and reduces the need to check several places when locating employee related documents. We would also be in a position to provide the volunteer with project work as it becomes available.
Volunteer Department Support (Priority 2)
The Volunteer Department requires support in the following 2 areas:
- Uploading data from MS Excel spreadsheets into our main database (Raiser’s Edge). This will be an ongoing project as new volunteers continue to join the organization.
- Conducting telephone interviews and reference checks for volunteer applications.
Responsibilities
Recruitment
With guidance from the Human Resources Specialist or Associate Specialist:
- Conduct screening of resumes received for each role and assist in short listing candidates for a phone screen
- Compile questions for phone screens and conduct phone screens to short list candidates for 1st round interviews
- Assist in scheduling 1st and 2nd round interviews
- Compile questions for reference checks and conduct reference checks for final candidates
Paperless Initiative
- Meet with the HR Specialist to learn about the new filing structure and review what files are stored where in the current file structure.
- Scan all hardcopy files into the system; split and merge files (word, pdf, etc.)
- Scan all payroll related files into the shared drive.
- Go through all the files and review for duplication
- File documents within the appropriate subfolders and ensure that the standard naming convention is followed
Experience and Skills
- A background and/or education in Human Resources preferred
- Experience in recruiting is a very strong asset
- CHRP/CHRL designation or working towards designation a very strong asset
- Very high attention to detail
- Demonstrated computer proficiency (MS Office, Email and peripherals)
- Ability to maintain confidentiality
- Strong organizational ability
- Ability to use personal judgement to make informed decisions
- Availability beyond the required minimum commitment (4 hours/week; 6 months) is a strong asset
- Previous experience with Raiser’s Edge an asset
Learning and Development Opportunities
