Events Assistant Volunteer – Toronto office

Duration:
Minimum of 2 months
MUST BE AVAILABLE BOTH EVENT DAYS: SATURDAY, APRIL 25 and SUNDAY, APRIL 26; 4:30AM – 1:00PM.

Purpose:
WWF-Canada is seeking a dedicated, detail-oriented and enthusiastic volunteer to assist with the preparation and execution of the Canada Life CN Tower Climb.  Working directly alongside the volunteer coordinator, the Events Assistant will provide administrative and logistical support for the planning and delivery of WWF-Canada’s most significant fundraising event.  

Responsibilities:

Volunteer Recruitment & Event Preparation

  • Assist with the screening and placement of volunteers
  • Answer Climb-related correspondence (email and telephone) 
  • Assist with the preparation of attendance sheets 
  • Monitor and sort applications; assigning roles appropriate to experience and interest
  • Populate and maintain the volunteer database (Raiser’s Edge*) 

Volunteer Training

  • Assist with the preparation and delivery of training manuals and orientation packages
  • Coordinate volunteer sign-in stations and maintain attendance logs

Event Day Coordination

  • Assist with the preparation for the arrival of staff and volunteers; setting up volunteer area and organizing supplies
  • Coordinate the volunteer sign-in station; maintaining attendance logs for both days
  • Direct volunteers to appropriate locations
  • Assist with the delivery of supplies and recognition gifts
  • Provide support to the volunteer coordinator as needed
  • Troubleshooting as required
  • Assist with tear down of volunteer area as required

Post Event Wrap Up

  • Attend post-mortem meeting with volunteer coordinator; providing feedback and suggestions for future Climbs

Experience and Desired Skills:

  • Experience with large scale event coordination a definite asset
  • Previous volunteer coordination experience a definite asset
  • A minimum of 2 years of customer service experience required
  • Highly detail-oriented 
  • Fast and accurate typing skills; data entry experience preferred
  • Proficient with MS Office applications; specifically: Excel, Word and Outlook
  • Experience with Google Docs a definite asset
  • A team player with an exceptionally friendly and positive attitude a must
  • Must be trustworthy with the ability to maintain confidential information
  • Experience with Raiser’s Edge* a definite asset
  • An excellent communicator with first-rate follow through
  • Capable of some heavy lifting

Training:
Comprehensive and ongoing training will be provided.  The volunteer coordinator will be accessible throughout the process; explaining procedures and answering any questions.
* Previous Raiser’s Edge experience is preferred but not mandatory.  Training will be provided for those with no previous experience.

Our office is business casual.
