Associate Specialist, Donor Services

Position Description
 
Reporting to the Manager, Donor Services, this position is responsible for administering all processes and systems that support the monthly recurring gift program, including an intensive administration process that supports the retention and recovery of monthly donors and for accomplishing timely and cost effective updates to all offline constituent information and the processing of all recurring gifts, tax receipts and donor acknowledgment.
 
Key Responsibilities

  • Coordinate, schedule, and administer transmission files for monthly pre-authorized donations.
  • Handle rejects, refunds and chargeback requests and make appropriate gift adjustments.
  • Maintain custom reports, dashboards, queries, exports, coding and other ad-hoc analysis to track and report on the monthly donor retention and administration process.
  • Generate required correspondence for cancelled and lapsed monthly donors through letters, phone calls, and emails according to schedule.
  • Data enter all new recurring offline donations and gift updates.
  • Ensure compliance to all regulatory guidelines and internal policies with respect to privacy, PCI compliance, data protection, and data retention.
  • Perform periodic queries to cleanup records and ensure data integrity.
  • Maintain a comprehensive procedures manual that documents all aspects of the monthly donor database, customizations and data management processes in detail.
  • Carry out quality assurance checks for all monthly administration processes.
  • Assist with regular gift processing and mailing requirements as needed.

What We Are Looking For:

  • Post-secondary education.
  • Minimum 3 years of related experience in a fundraising/not for profit organization.
  • Demonstrated experience and proficiency in using Raiser’s Edge, including queries, exports and reports.  bCRE desirable. 
  • Demonstrated high level of skills in Microsoft Office with an advanced proficiency in Excel.
  • Knowledge of Canada Revenue Agency donation guidelines.
  • Demonstrated donor centric service skills.
  • Ability to maintain confidentiality and work with sensitive information.
  • Strong oral and written communication skills.
  • Attention to detail and strong analytical skills.
  • Ability to learn and apply new technologies and procedures.
  • Ability to work collaboratively as part of a team and independently.
  • Highly developed organizational and time management skills enabling the capacity to work under pressure and to meet deadlines.

This is a full time, permanent position out of our Toronto office.
